Booking, Deposits & Cancellations Policy

The Truly Seen Collective

Last updated: 21 October 2026

I want booking a photography session to feel simple and straightforward. This policy explains how bookings are secured, how payments work, and what happens if plans need to change.

1. How the Booking Process Works

Step 1: Make an enquiry

Contact me through my website enquiry form or email to discuss the session you have in mind. I’ll provide the relevant pricing, availability and details to help you choose the right session.

Step 2: Secure your booking

For standard portrait sessions, a $100 booking fee is required to reserve your date and time.

For weddings, a $300 booking fee is required, with a minimum booking of 60 minutes of photography coverage.

Your booking is confirmed once the required payment has been received and I have confirmed your booking in writing.

Step 3: Prepare for your session

Once your booking is confirmed, I’ll send you a booking confirmation and a preparation guide designed to help you get the most out of your session. It will help you know what to expect and feel prepared before we meet.

Step 4: Final payment

Any remaining balance is due on the day of your session. Payment can be made by cash or bank transfer. Credit card payments are not available.

Step 5: Receive your photographs

My usual turnaround times are:

  • Sneak peeks: generally within 1–2 days.

  • Full portrait galleries: usually within two weeks.

  • Wedding galleries: approximately 30 days.

These are typical timeframes rather than guaranteed deadlines. I’ll communicate with you if circumstances significantly affect delivery.

2. Booking Fees and Payments

The booking fee reserves your appointment and is deducted from the total cost of your booking.

For standard portrait sessions, the booking fee is $100.

For weddings, the booking fee is $300. Wedding bookings require a minimum of 60 minutes of photography coverage. The wedding booking fee reflects the additional preparation, planning and time management involved in securing and preparing for your wedding date. It is deducted from the agreed wedding photography price.

Any additional wedding coverage and associated costs will be discussed and confirmed in writing before your booking is finalised.

Booking fees are non-refundable if you cancel your booking, subject to applicable Australian Consumer Law. Nothing in this policy removes any consumer rights or allows me to retain money where a refund or other remedy is legally required.

3. Cancellations

If you need to cancel your booking, please contact me as soon as possible at hello@trulyseen.com.au.

If you cancel, the booking fee will generally not be refunded, subject to your legal rights and the circumstances of the cancellation. If you have paid more than the booking fee, any applicable refund will be assessed in accordance with your booking agreement, work already completed, reasonable costs incurred and applicable law.

If you would prefer to move your booking to another date, please contact me to discuss availability. Rescheduling requests are considered individually and are not automatically guaranteed.

4. Rescheduling and Weather

Outdoor sessions can be affected by weather and changing conditions. If I determine that the weather or location conditions are unsuitable or unsafe, I may reschedule your session.

If I reschedule your session due to weather, your existing booking and booking fee will transfer to the new agreed date and time. You will not need to pay another booking fee simply because I have moved the session.

If you need to reschedule for another reason, please let me know as early as possible. I’ll consider the circumstances and my availability and confirm any new arrangements in writing.

Where a weather backup date has been arranged, I’ll confirm the details with you beforehand.

5. Illness and Unexpected Circumstances

If you or someone in your family is unwell, please contact me as early as possible. I understand that unexpected circumstances arise, particularly when children are involved, and I’ll consider rescheduling requests on a case-by-case basis.

If I’m unable to attend your session due to illness or another unforeseen circumstance, I’ll contact you to arrange an alternative date where possible. If I cannot provide the booked service, I’ll provide the refund or other remedy required by law.

6. Mini Sessions

Mini sessions may have limited dates, specific locations and a set session duration. Because these sessions are often scheduled back-to-back, rescheduling options may be more limited than for standard portrait sessions.

The booking fee, total price, inclusions, date and any specific cancellation or rescheduling conditions will be provided when the mini session is advertised or booked.

If I need to reschedule a mini session due to weather or another circumstance on my side, your existing booking payment will transfer to the replacement date. If I cannot provide the session, any refund or other remedy required by law will apply.

If you need to cancel or request a change to a mini session, please contact me as soon as possible. Any request to move to another date will depend on availability and the specific terms provided for that mini session.

7. Weddings and Events

Wedding bookings require a minimum of 60 minutes of photography coverage and a $300 booking fee.

Weddings involve additional preparation, planning and time management before the day itself. The booking fee secures your date and is deducted from your agreed wedding photography price.

Your booking confirmation, invoice or separate written agreement will outline the agreed coverage, pricing, payment arrangements and any additional terms relevant to your wedding or event.

If you need to cancel or reschedule your wedding booking, please contact me as soon as possible. Rescheduling requests will be considered based on availability and the circumstances.

If I need to reschedule your wedding, I’ll discuss the available options with you directly. If I’m unable to provide the agreed wedding photography service, I’ll provide any refund or other remedy required by law.

8. Locations and Travel Fees

My sessions take place in homes, outdoors and at agreed locations. I do not offer studio sessions.

Travel fees may apply depending on the location, including locations north of Coolum, south of Caloundra or further afield. I’ll communicate any applicable travel fee before your booking is confirmed.

If the agreed location changes after booking, I’ll let you know if the change affects the travel fee before confirming the new arrangements.

9. Late Arrivals and Missed Sessions

Please arrive at the agreed time so we can make the most of your session.

If you’re running late, please contact me as soon as possible. I’ll do my best to accommodate the delay, but the session may still need to finish at the originally scheduled time.

If you miss your session without contacting me, please get in touch as soon as possible. Any request to reschedule will be considered individually and will depend on availability and the circumstances.

10. Australian Consumer Law

Nothing in this policy excludes, restricts or modifies rights or remedies available to you under Australian Consumer Law.

If you have questions about your booking or these terms, please contact me directly.
